What is Helpdesk?

Also known as: IT helpdesk, service desk, IT support desk

A helpdesk is the central point of contact where staff report IT faults and make requests, by phone, email, chat or an online portal. Each contact is logged as a ticket, prioritised, assigned to a technician and tracked until it is resolved, giving the organisation one accountable place to go for help.

Behind the scenes, a helpdesk relies on ticketing software that records who reported the issue, which device or site is affected, what was tried and how long it took. Tiers are common. A first-line technician handles routine problems such as password resets and printer faults, while complex or specialised issues are escalated to more experienced engineers or to a software vendor.

In retail and hospitality, a helpdesk is often the lifeline between a store and its systems. A shift supervisor with a frozen POS or an offline payment terminal needs a clear number to call and someone who can see the problem remotely or dispatch a technician. Good helpdesks also capture patterns, so a repeated fault at one site prompts a permanent fix rather than another quick patch.

Things to consider include operating hours that match trading hours, how urgent issues are defined and escalated, whether staff are asked to repeat information at every call, and how ticket history is shared with you. A common pitfall is staff bypassing the helpdesk and calling a favourite technician, which leaves no record and hides recurring problems.

Done well, a helpdesk reduces downtime, builds a useful record of the environment and gives frontline staff confidence that help is available. RetailCare provides helpdesk support as part of its managed IT and 24/7 remote support services.
