An AI knowledge base is the collection of business information an AI assistant is allowed to use when it answers questions. It typically includes product details, menus, prices, policies, opening hours, FAQs and procedures.
Many systems use a technique called retrieval-augmented generation, or RAG. When a question arrives, the system searches the knowledge base for the most relevant passages and gives them to the language model, which writes an answer based on that material. This keeps replies tied to your content rather than the model's general knowledge.
For retail and hospitality, this means an assistant can quote the real returns policy, the current menu and the right allergen information. It also lets staff-facing assistants answer questions about procedures, rosters or product training.
The knowledge base needs maintenance. Out-of-date prices, old menus or conflicting policies produce wrong answers delivered with confidence. Assign an owner, set a review schedule and remove obsolete documents. Test with real customer questions, and make sure sensitive internal files are not included by accident.
It matters because the quality of an AI assistant is mostly the quality of the information behind it, and a tidy knowledge base is often the most valuable preparation a business can do.
